Quick answer
How do you create a digital invitation?
To create a digital invitation on Evatril, choose the occasion, add the event details and photos, keep the free Event Wall or add the paid Aura Wall, choose a design or upload your own, and preview it.
A Save the Date and uploading your own design are free. Every invitation also includes a free Event Wall. The invitation gives guests a place to interact, find the venue and reply. If you add Memories, they can also view shared photos and upload their own photos and videos to the Memory Pool. Here's how to create one for a wedding, engagement, reception or corporate event.
What do you need before you start?
Have the following ready:
- The hosts' names and any other names that will appear on the invitation.
- The venue name and full address.
- The occasion date, and the date and time of each function.
- Photos for the event profile.
If you already have a design, you can upload a PDF, PNG, JPG or MP4 file up to 50 MB. A vertical design at 1080 × 1920 px works best. After uploading it, you'll follow the same event setup steps as you would with an Evatril design.
Step 1: Pick the occasion
Tap Create Invitation and choose your occasion. Evatril has 25 occasion options, including Hindu, Muslim, Christian and Sikh weddings, engagements, receptions, corporate events, birthdays, housewarmings and naming ceremonies.
You can also start by choosing a design in the gallery. In that case, the design already has an occasion assigned to it.
If you have your own design, upload it instead. This is useful if a designer has made your wedding invitation or your company has a branded event invite. Once you send it through Evatril, it gets the same RSVP, Event Wall and QR Pass features.
Step 2: Enter the event details and photos
The event profile form asks for photos first, followed by the names, occasion date, and the date and time of the particular function.
For the venue, enter its name and address, add a landmark and category if needed, and place the required pin on the map. For a wedding, engagement or reception, add one photo of the groom and one of the bride.
Check these details carefully, especially if you're organising several functions at different venues.
For help with the wording, see our guides to invitation wording for weddings, engagements and receptions, and how to write a corporate event invitation.
Step 3: Keep the Event Wall or add the Aura Wall
Every invitation automatically includes a free Event Wall. Guests can leave wishes, use emojis and like posts.
The Aura Wall is the paid option for personalising the event webpage with photos, videos, a theme and music. You can choose music from Evatril's library or upload your own track.
You'll see the Aura Wall offer beside the event details. You can also add it later using Create Aura on the event page.
Memories is a separate feature for collecting and sharing event photos and videos. It is offered during setup too, but you can add it later or leave it out.
Step 4: Choose the design type
Choose from four types of digital invitations: Save the Date, PDF, Video or AI Pretext. The gallery organises designs under Free, Premium and AI Powered.
A Save the Date is free. The other design types are paid.
With AI Pretext, you don't need to write a prompt or upload the same photos again. It uses your event profile photos to replace the sample people in a pre-designed video. A birthday Pretext uses one image.
For a corporate event, you might prefer a PDF or your own branded design.
Step 5: Preview the invitation
Open the preview on your phone and read it as a guest would.
Check every name, the occasion date, the function's date and time, the venue address and the map pin. If possible, send a test invitation and ask someone else to read it too. It's easy to miss a typing error in a name you know well.
You can still change event details later using EDIT on the event page, but checking now saves guests from seeing incorrect information.
Step 6: Download, or Save & Schedule
Below the preview, you'll find Download and Save & Schedule.
Download saves the invitation file. Save & Schedule takes you to the guest list.
You can add guests one by one, import Google contacts, or upload an Excel or CSV file with a name, country code and phone number for each guest. In the app, you can also import phone contacts after granting permission.
From there, you can organise guest groups, set up Multi-RSVP and QR Pass, and schedule the invitations. These steps are covered in our guide on how to send invitations and manage guests online.
How do guests receive the invitation?
Evatril sends invitation notifications through WhatsApp or RCS by default. Delivery through either channel counts as a successful send.
The invitation also goes to My Invitation on Evatril. This is the default place for guests to find their invitations within the platform, even if the WhatsApp or RCS notification fails. The host can send an invitation whether or not the guest already has an Evatril account.
Guests don't need to download an app to open a notification link or reply. Creating a complete account gives them access to My Invitation, where they can keep track of invitations through the website, PWA or app.
What does sending cost, and what happens if delivery fails?
Sending invitations is charged separately from creating the design. See the Evatril pricing page for current sending rates, new-account promotional credit and available offers.
If the notification is delivered through either WhatsApp or RCS, the send is counted as successful. If it fails on both channels, Evatril refunds the sending charge for that invitation.
This refund applies to WhatsApp and RCS delivery. The invitation remains available through Evatril's My Invitation section.
